Job Description – Director of Admissions, Marketing and Development
The Director of Admissions, Marketing and Development will oversee the Admissions process from the time of referral and inquiry through the admission until the end of the Admissions Care Plan.
This director will also oversee all the functions related to marketing, advertising, events and education in the community, community relations, as well as oversee functions related to development of donors, relationships, fund-raising events and assist with volunteer recruitment and tracking.
Evaluate, streamline and oversee the entire admissions process up from the referral/inquiry through the Admissions Care Plan, including:
Conversations with families and case managers,
Gathering information needed for the Admissions Team
Making medical and financial evaluations
Dispersing information to all Admissions Team members
Recording electronic information
Welcoming new residents
Maintaining relationships with interested parties
Organizing waiting lists
Working with needs of all Admission Team members
Set up and begin to use an electronic Contact Relationship Management module in Point Click Care.
Learn all admissions aspects to Point Click Care and become proficient.
Keep informed of Medicare and Medicaid requirements for admissions including Medicare criteria, Casper report, quality measures.
Create and update a written workflow plan for the admissions process.
Maintain knowledge of a complete census of all the current occupied rooms, possible discharges, upcoming admissions, waiting list for rooms, possible changes in payment and anything else that will effect census.
Create and arrange for all advertising including, but not limited to:
Newspaper ads and articles
Radio ads and spots
Flyers, posters and banners
Letters to hospitals
Maintain contracts with all the above.
Maintain a Facebook presence, tracking use of and interest in our Facebook page
Design, maintain and update a website including services, mission, vision, core values, information for new residents, employees and donors, tracking the use of the website.
Create promotional pieces as needed for all four homes, community events, fairs, doctors, senior groups, churches, etc.
Maintain address lists of interested families, churches, other senior facilities, referral sources, local businesses and etc.
Work with the Administrator to develop a case statement, ways to communicate mission and goals, logos, organization-wide phrases and language and goals on communicating to the community. Set goals and objectives for marketing a new business model to the community.
Plan for and carry out events for the community put on by Prairieview staff and volunteers, including developing a speaker’s bureau, educational workshops and seminars.
Attend and set up a display at fairs, meetings, clubs, community events and other gatherings. Spend time getting to know people in the community at events, business and Chambers of Commerce.
Develop relatonships with referral sources and other senior providers by starting a Senior Provider Resource group in Iroquois and surrounding areas to the south and west. Work in conjunction with Illinois Pioneer Cooperative.
Take, gather and edit pictures. Keep track of photo permissions. Make pictures available for other departments.
Oversee a donor-tracking software including becoming proficient in using the software and training other staff and volunteers to input information and use the software.
Organize and run an annual Golf Outing and Fall Festival and develop other fund-raising ideas and events, including on-line giving, peer to peer giving, etc. Oversee an Easter appeal and Christmas appeal.
Develop relationships with all 26 member churches, speaking to members, becoming acquainted with volunteers, knowing the pastors and leaders, offering education and knowledge along with thanks and appreciation.
Write or edit all fund-raising letters and acknowledgement letters to donors. Oversee The Views including lay-out, writing, choosing articles and providing pictures.
Develop relationships and events for Circle of Friends. Choose a public visual design to acknowledge the Circle of Friends donors.
Find new donors through relationships with businesses, churches and family members. Work with consultants on finding new avenues for contributions and better ways for development.
